Manage Invoicing

  • Overview

    The Invoicing page has many features that will assist your business in staying on top of things.

    In general terms, the Invoicing screen does the following:

    • Create an Invoice, either Item or Service
    • Create a Quote, either Item or Service
    • ACTION column allows you to:
    • Create a PDF,
    • Edit the transaction,
    • Email an OVERDUE notice,
    • Delete the Invoice or Quote and
    • view your customer email log.
    • Send any typr of Email to your customer
    • Copy or Duplicate the Invoice (recurring).

    The PAID column changes the status of your Invoices or Quotes

    • List Quotes.
    • Convert Quotes to Invoices (Delete unsucessful Quotes).
    • Money In - tells you what receipts you have allocated to your cashbook Money In.
    • Not Paid - Lists Invoices that your customers haven't paid yet.
    • Overdue - Lists Invoices that have reached overdue status.  Once this occurs and overdue Invoice email is available to send as a client reminder
    • Paid - tells you which Invoices you have receipts payment on.  From Paid you can click to send payment details to MONEY IN in your cashbook.

    Create A quote

    Creating a Quote is as EASY as.

    Creating a Quote is simple and can either by done on this system or via the App (which you have obviously downloaded by now).

    Functions of the Quote:

    Choose the colour of your Quote

    Import your Logo or Corporate Image

    Your Address and ABN should automatically populate, if they are not there you'll need to head back to the home page and use the EDIT button next to your Business Name.

    TRICKY BIT - make sure you choose the TYPE of Quote, either an Item Quote or a Service Quote.  

    Follow the prompts to complete the rest of the quote.

    Note the VALID TILL date.  This places a time limit on the validity of the Quote.

    Notes can be attached to the Quote.  And whatever notes you use, they will be saved for future Quotes.  You can change the notes on any Quote.

    Once completed you can SUBMIT the quote which means it's being recorded or you can SEND EMAIL the quote straight to your potential customer.

    Your Invoices and Quotes come with two options:

    Item Invoices and Item Quotes, and

    Service Invoices and Service Quotes

    Item calculates the number of items x the price per item

         so 10 Apples at $1 equals $10,

         or 10 hours at $50 per hour equals $500

    Service is merely a comprehensive description of what you are providing to your customer.

    Choose the format that best suits your business and your style of operation.  For instance, Trades people could use either.  Businesses that sell "things" would use the Item Invoice.  Service businesses that require explanation of what was provided would use the Service Invoice.

    Note that the Sales (Items) Report can only function from using Sales ITEM invoices.

    Receiving money from Customers.

    Your Receiving OptionsNote that the system is NOT an accounts receivable or debtor’s system.  It does however, effectively track what is owed to you, what quotes are outstanding and what invoices are outstanding, in the SIMPLEST possible way.

    It is merely a listing of what you have quoted or Invoiced and has FIVE OPTIONS that Invoices and Quotes are assigned to, they are:

    QUOTES: These list the QUOTES you have raised.  Keep an eye on these and follow up any quotes older than a few days (industry specific).  For quotes that you have raised are automatically assigned CONVERT.  If the quote is successful, then just CLICK the CONVERT button and the system will change your QUOTE to an INVOICE marked NOT PAID.  Remember to delete old unsuccessful quotes so they don't clog up your screen.  It's also always an idea to get an idea of why quotes have been rejected and improve your processes accordingly.  Quoting endless work that doesn't get converted results in an endless waste of time and effort.

    NOT PAID: Once you raise an INVOICE it is automatically assigned the designation of NOT PAID.  If you receive money from your customer you can click the NOT PAID button and you will be issued with TWO options. 

    The FIRST OPTION is just to mark the Invoice as PAID, doing this just notes the Invoice has been paid with no further action.  The SECOND OPTION you have is to record the receipt as a MONEY IN transaction.  This then changes the button to MONEY IN which effectively means it's paid and IN ADDITION to that it records the Receipt in the MONEY IN column in your HOME SCREEN spreadsheet. 

    Note you can record the receipt as PAID and then later convert the PAID to MONEY IN to reflect the transaction in the HOME SCREEN.  Please be careful of dates.  Dates should reflect the date the transaction occurs.  You can cause problems if, for instance, you select the default date (today's).  So be mindful of the date of your receipt, this is particularly important if you are playing "catch up" with your records.

    OVERDUE:  for Invoices that have passed their due date for payment.  You can set the DUE DATE when you create the invoice.  The default time period is seven days.  When an Invoice goes past the due date it becomes OVERDUE and accordingly you should take collection corrective measures. The system flags this for you with a flashing OVERDUE Icon.  CLICKING this will allow you to send an overdue email to remind your customers.  Simply click the email icon under the ACTIONS column.

    PAID:  When a customer pays their account you simply click NOT PAID or OVERDUE and the invoice will be designated as PAID. You will be given options to change the DATE, mark the INVOICE as PAID or mark the INVOICE as MONEY IN, in which can the Invoice is paid and the receipt is sent to your MONEY IN column on the HOME SCREEN spreadsheet.

    ACTION COLUMN

    You can also at any time get a copy of the Invoice or Quote to print or to email.  You can also Edit a quote or Invoice to change its contents and of course once you have been paid you can Delete the Invoice or Delete unsuccessful quotes.  When Invoices become overdue and email icon appears.  You can send an overdue notice through here.   There is an email log that will show you when you've sent Invoicing emails to your customers. You can also send a general email and replicate an Invoice for recurring transactions. You will find all these under the ACTION column.

    A running total of OVERDUE, NOT PAID, and QUOTES OUTSTANDING are available at the top of the screen.

    SORTING COLUMNS

    You can reorder any of your columns to make more sense to you or to find something.  Simply mouse over the column headers and click.

    Can I Sort the Columns?

    Sort Columns

    For ease of use and locating specific Invoices or Quotes you can sort certain column to group your Invoices.

    These are the Columns available for SORTING:

    •   All Invoice, By: Item, Service. Item(Quote) Service (Quote)
    •   Date
    •   Invoice Number
    •   Amount Due
    •   Paid Status, By: All Status, Quotes, Money In, Not Paid, Overdue, Paid

    Just click the Column header.

    Your Action Column gives you many handy tools to assist you.

    All your Invoicing OptionsThe Action column provides you with simple functionality to perform the following tasks:

    In order of appearance;

    PDF - Create a PDF for Invoices and Quotes to Print.

    EDIT- You can Edit an Invoice or Quote which can then be printed or resent.

    OVERDUE - This will flash if the Invoice hasn't been paid.  Click to generate an OVERDUE email to send.

    DELETE- Delete quotes that are unsuccessful or Invoices that you no longer require.

    EMAIL LOG - this log shows the emails you've sent to your customers

    EMAIL - generate and send an email communication of your choosing.

    RECURRING - click this to Duplicate and Invoice, edit and resend.  Invoice numbers will automatically Index. Handy for sending invoices to customers where the Sale is the same each time.

    Your Address and Business Number should automatically populate, if they are not there you'll need to head back to the home page and use the EDIT ICON available with your LOGO on the HOME SCREEN ... EDIT BUSINESS DETAILS

    TRICKY BIT - make sure you choose the TYPE of Invoice, either an ITEM INVOICE or a SERVICE INVOICE.  

    Follow the prompts to complete the rest of YOUR INVOICE.

    Note the DUE DATE.  This is defaulted to 7 DAYS. Change to suit your business.

    Notes can be attached to the Invoice

    And whatever notes you use, they will be saved for future Invoice.  You can change the notes on any Invoice. You can retrieve past notes you have used for current use.

    Once completed you can SUBMIT the quote which means it's being recorded or you can SEND EMAIL the Invoice straight to your customer as soon as the work is finished. This can also be done via the eCashbooks App when you are working away from your desk.

    Outstanding Invoices

    There are several flags that should point out that you have overdue invoices and that you need to action them.  We also make it easy for you to take action.

    You'll find that the system has many flags to remind you of those customers that have failed to meet their end of the deal:

    • Your WEEKLY EMAILED REPORT will show you what's outstanding.
    • Your HOME SCREEN has an OVERDUE Stamp that will only appear when you have delinquent accounts.
    • Your PERFORMANCE DASHBOARD also reflects your outstandings.
    • Your MANAGE INVOICING will also scream a flashing OVERDUE Icon, just click the Icon to send an OUTSTANDING email to your customer.

    So with all that attention seeking, you can see that it's important to your business.

    Why it’s important to know when invoices are overdue:

    1. Cash Flow: Knowing when invoices are overdue helps maintain a steady cash flow. If payments are late, it can disrupt your ability to pay your own bills or invest in your business.
    2. Financial Health: Overdue invoices can indicate issues with your financial health. Too many overdue invoices might mean customers are dissatisfied or there are problems with your invoicing process.
    3. Customer Relationships: Keeping track of overdue invoices allows you to follow up with customers. This can strengthen your relationship with them and encourage timely payments in the future.
